InventoryPath Rep Desk workflow guide

1. Set up restricted access

The merchant configures rep identities, commission rates, assigned customer records, permitted products and pricing policy. Customer-record mode uses merchant-approved Shopify customer and default shipping-address data. Native company/catalog pricing and free-form rep price or address overrides are outside the first release.

The rep receives a private invitation at the email supplied by the merchant and verifies that inbox with a one-use code. Reps do not need a Shopify staff account and do not gain general Shopify admin access. The portal uses expiring, revocable access; it is not an offline store of the merchant’s customer list.

2. Prepare and submit a proposal

The rep selects an assigned buyer and permitted products, enters quantities and reviews the proposed lines. Prices follow the merchant’s policy and current source records. Submission alone does not create a Shopify draft or email an invoice.

Assignments, products or prices can change. A proposal that no longer matches its permitted inputs must be reviewed again. Rep suspension or revoked access must not be treated as permission to continue using an old proposal.

3. Calculate, review and explicitly approve

An authorised merchant calculates the current total through Shopify and reviews the buyer, ship-to, items, prices and calculation before approving draft creation. Returned or changed proposals require a new version and fresh review.

The checked-batch workflow is limited to ten individually reviewed proposals. Each item still needs current permissions, inputs and eligibility. An uncertain or non-confirmed result pauses unsent items for review rather than declaring the whole batch successful. Published limits are not an exact execution-time guarantee.

After a confirmed result, inspect the native Shopify draft. Complete invoicing, payment and fulfillment in Shopify. Rep Desk does not send buyer invoices or collect funds.

4. Handle an uncertain result

Unknown means Shopify did not confirm whether a draft was created. A response timeout does not prove no draft exists. Ambiguous creates are never automatically retried. Unresolved, possibly dispatched attempts remain held for operator reconciliation beyond the normal 90-day proposal retention; inspect Shopify drafts and resolve the evidence through an authorised review.

Needs review or Stale means the proposal or native evidence cannot safely support the next action. A known created draft needing review must not be treated as a new unattempted proposal. A confirmed no-write result is different from an unknown result. Do not bypass a hold by changing references or manually duplicating the draft.

5. Review the commission ledger

The ledger attributes only orders completed from app-created drafts. It follows net merchandise after discounts and refund adjustments, excluding shipping and tax. Pending or partially paid orders do not automatically establish earned commission. Automatic commission requires a fully paid, tax-exclusive, unedited order in the retained ledger currency, with readable merchandise-refund evidence.

Tax-inclusive orders, order edits, changed currencies and incomplete refund evidence are held for owner review, retaining the last recognised figure instead of inventing a new amount. Cancellation alone does not prove a refund after full payment.

Refunds can reverse earlier commission. Merchants enter settlements paid outside the app, adjustments or an opening balance; those entries are not proof that Rep Desk paid anyone. Owner-entered payment assertions must be identified and reconciled against actual records.

Older or inaccessible Shopify order evidence can leave figures stale or unresolved. The app does not promise complete historical accounting or attribution of unrelated native orders. Export only through authorised private downloads, review the saved figures and retain any required financial records independently.

Balances cover a rolling twelve-month retained event window, not a lifetime account. Earnings, reversals, settlements, adjustments and opening entries all expire. Expired balances do not carry forward automatically. Export required records before expiry.

6. Availability, limits and retention

The product page gives saved pricing and cycle allowances. The v1 catalog ceiling is 2,000 indexed variants. Working limits include fifty lines per proposal and 5,000 indexed buyers. These ceilings are not a throughput or response-time guarantee.

Proposals normally retire after 90 days, except unresolved create attempts held for operator reconciliation. Ledger events of every kind expire after twelve months; private exports expire seven days after generation. Required privacy erasure overrides ordinary retention. Uninstall/reinstall access revocation and populated encrypted quarantine recovery with deletion-journal replay have been tested. This does not establish off-server recovery; see the privacy notice for current scope.

Optional merchant setup tips

Optional setup tips are available. The guide works without email enrollment. Only the authenticated store owner can opt in, and the chosen help inbox must be verified.

Open Setup and optional tips inside the Shopify app for a guide based on your store’s recorded progress. The guide works without email enrollment. Staff can use it without subscribing. The store owner may separately choose and verify a merchant help inbox to request up to four setup-tip emails for this app over fourteen days.

Across InventoryPath app setup tips, the same verified inbox receives at most one help email per rolling twenty-four hours and three per rolling seven days. Some messages may be skipped as you progress or if their useful window passes. Education is sent between 09:00 and 17:00 in the confirmed store time zone.

Sender and Reply-To are Inventory App at [email protected], through Brevo. Tips are optional and separate from product operational messages, supplier/customer/rep verification, website newsletters and other marketing. No contacts are imported automatically. Choosing not to subscribe does not limit the app. A buyer, supplier or rep invitation does not enroll its recipient in merchant setup tips.

Stop this app’s tips, or all InventoryPath app setup tips for that inbox, from the setup screen or the preferences page linked in an email. Viewing the link does not withdraw consent; use the displayed confirmation. Brevo’s own unsubscribe and account-wide suppression also apply. A message already accepted for sending may still arrive.

Uninstalling or erasing app data revokes current enrollment once detected. Reinstall does not automatically subscribe you or reset the original help window or used messages. Completed or stopped sequences do not silently restart. The guide and direct support remain available. The privacy notice explains recipient, delivery/open/click processing and cleanup boundaries.

What counts as progress

Load permitted buyers and catalog items, configure narrow assignments, invite deliberately and wait for the rep. Proposals, confirmed drafts, paid orders, earned commission and externally handled settlements are different states. Merchant tips never enroll reps or grant Shopify or portal access. Unknown creates and stale attribution pause education.
